1. Enquiry information
Names, organisations, email addresses, telephone numbers, project details and other information submitted through an enquiry form are used only to reply, discuss dates and terms, and provide necessary follow-up. They are not shared with third parties without consent, except where required by law.
2. Information received for a Performance Review
For a Performance Review, Mai may receive your name, email address, preferred language, playing background, work and passage, questions, performance date, duration, survey answers, file-submission confirmation and information used to match the request with a Stripe payment. This information is used to verify identity and payment, prepare and return the review, communicate with you, administer the request and improve the form of future reviews.
3. Recordings and scores
Audio or video recordings and PDF scores are deleted promptly from the working storage after the 30-day retention period following return of the review. The private page becomes unavailable 30 days after the review is returned, and its written review and attachments are then deleted promptly from the Website's storage. Your playing, score, questions and review will not be posted on social media or disclosed to another person without your permission.
4. Request records and survey answers
The information sent with a request and the record of the review are kept for one year after the review is completed, then deleted or reduced to the minimum information still needed. Survey answers remain linked to the request for one year. If they are retained after that to improve future reviews, they are first made non-identifiable. Stripe retains payment and accounting records for the period required by applicable law and accounting obligations.
5. External services
Stripe is used for payments, and Dropbox File Request is used to receive recordings, videos and PDF scores. External infrastructure is also used for hosting, secure data storage and email delivery. Each provider processes information only to the extent needed for its role. The Website also links to or embeds services such as YouTube, social platforms, concert venues and ticket providers; please consult the respective operators’ policies.
6. Retention of enquiry information
Enquiry information is retained only for as long as it is reasonably needed to respond and keep an appropriate record, after which it is deleted by suitable means. Private addresses, private telephone numbers and information identifying the private owner of an instrument are not published on the Website.
7. Access data
For secure operation, fault investigation and an understanding of general usage, the hosting provider and related services may automatically process technical data such as IP address, browser and time of access. This information is not used to identify individuals beyond what is necessary for these purposes.
8. Cookies and local storage
Information needed for the Website’s operation, such as a language preference, may be stored in the browser. If analytics are introduced in future, their purpose and the information collected will be disclosed here and configured appropriately.
9. Access, correction and deletion requests
Please use the contact below if you wish to ask about access to, correction of or deletion of your information. Some records may need to be retained where required by law, accounting obligations or the handling of a dispute.
10. Copyright
Text, photographs, audio, video, flyers and other material on the Website are protected by copyright belonging to Mai Suzuki or the respective rights holders. Reproduction, alteration and distribution without permission are prohibited except as permitted by law. Any specified photographer credit must accompany authorised use of a photograph.
11. Changes to this policy
This policy may be revised in response to changes in law, services or Website operation. Material changes will be announced on this page.
